How to withdraw and transfer learners

This help guide will explain how to withdraw or transfer learners' courses.

NOTE: Course withdrawal is permanent and should only be done in cases where you wish to remove a learner from their course entirely. In cases where you only need to restrict a learner's access temporarily, consider either pausing their course or deactivating their account instead as both these actions can be reversed.

Visit your eAssessor Pro platform & log into your Admin/System Admin Account.

1. Log Into your Admin/System Admin Account.
If you have forgotten your account password, "Click" Forgotten Password?

2. Navigate to the Course Search tab in the sidebar.

3. From here, "Click" on the name of the learner you wish to withdraw or transfer.

4. This will take you to that learner's course overview page. From there, on the right-hand side of the page, the Withdraw and Transfer buttons will be visible.

5. To withdraw the learner, "click" Withdraw.

6. Select an option from the Withdraw Reason dropdown and provide additional detail under Withdraw Reason Narrative. Once this is completed, "click" Withdraw to permanently withdraw the learner from their course.
For information on how to add new options to the Withdraw Reason dropdown, see this article: How do I create new withdraw reasons?
Please note that course withdrawal is permanent and cannot be reversed.

7. To transfer a learner, "click" Transfer.

8. Select an option from the Transfer Reason dropdown and provide additional detail under Transfer Reason Narrative.
For information on how to add new options to the Withdraw Reason dropdown, see this article: How do I create new transfer reasons?

9. Scroll down and select the course you wish to transfer the learner to. You are then able to amend the overall start/end dates as well as the submission dates for the new course.

10. Once you have confirmed all details are correct, scroll down and "click" Transfer.

11. To withdraw learners in bulk, go to the Course Search page.

12. Tick beside any learners you wish to withdraw.

13. Under the Actions menu on the right-hand side of the page, use the Action dropdown to select Set Withdrawn.

14. Select a withdrawal reason from the Withdraw Reason dropdown and enter any additional information in the text box.

15. "Click" Apply. Any selected learners will then be immediately withdrawn from their courses.
You also have the option to deactivate any selected learners' accounts as well as withdrawing them. To do this, "tick" the box labelled Set Inactive. Deactivating a learner's account will prevent them from logging in.
